Everything you need to know about the creation and completion of Cosuno Tasks

Updated over a week ago

With the Task Management feature, you can digitally capture open tasks during the project preparation and awarding process, assign them to relevant project participants or bidders, and continuously track their status. Bring structure to your workflow and increase efficiency in collaboration.

The advantages of Cosuno Task Management:

  • Define clear responsibilities by assigning tasks to individual users.

  • Stay informed about upcoming tasks across all projects with a transparent overview of all open tasks.

  • Never forget tasks again with automatic email reminders.

  • Enhance collaboration and traceability with status updates and commenting.

Note: Cosuno task management is still in the BETA phase. We welcome your feedback and suggestions for improvement at packages@cosuno.de.

1. How to create a task.

To create a new task, go to the task tab or the bidder list and click on New Task.

First, select whether you want to create an internal task for your team members or assign a task to a bidder.

1.1 Tasks for Team Members

For each task, you can provide the following information:

  • Name

  • Deadline

  • Project and Bid package (optional)

  • Responsible person

  • Description

In the description, you can add all the details required to work on the task. All user roles can be assigned as a task owner. If tasks are assigned to a project or bid package only the team members can be assigned as task owners.

The assigned user will receive an email notification regarding the upcoming task, as well as a reminder 24 hours before the deadline to prevent any tasks from being forgotten.

Note: You can also use Cosuno task management to organize your own workflows. Simply assign tasks to yourself for this purpose.

1.2 Creating Tasks for Bidders

Tasks can also be assigned directly to invited bidders.

For each task assigned to a bidder, you can provide the following information:

  • Name

  • Deadline

  • Bid package

  • Responsible Bidder

  • Description

In the description, you can include all relevant details that the bidder needs to complete the task.

Once the task is created, the invited contact persons of the bidder are informed about the new task and automatically reminded. The bidder can update the task status and mark it as "Completed" once the task is finished.

The task is visible to all persons with access to the bid package.

2. How to work on a task

If you are working on a task, you can set the task as in progress. Once a task is completed, you can mark it as done and optionally add a comment. The person who created the task will receive a notification about any status changes of the task.

If the task is delayed or if the requirements and ownership change, you can edit tasks at any time.

Enjoy testing the new features! Feel free to send us your feedback and suggestions for improvement at packages@cosuno.de.
