How to upload or request certificates of a subcontractor

Updated over 7 months ago

All certificates available and up-to-date at all times - for you and contractors.

Certificates are an important. However, it also takes a lot of time to send requests by email to individual contractors and project partners, upload them to the various systems and check whether all certificates are available and up-to-date.

Managing certificates in Cosuno offers you the following advantages:

  • Centralized management for less e-mail effort: you can directly access all necessary certificates that have been stored by the subcontractor in his account. This reduces the number of manual emails sent to individual contractors and you have all important and project-relevant certificates in one place.

  • Easily keep certificates up to date: Keep track of expiration dates with a clear display of all certificates and update them directly in Cosuno if necessary.

  • Transparency for all project partners: You have direct access to the certificates, certifications and qualifications of contractors and can view the relevant documents immediately.

Manage certificate types

To request a certificate from a subcontractor, an employee with an administrator account needs to add the respective certificate type in your companies settings.

To manage your company's certificate types, click on your name in the top-right corner and select My Company. In the section Customisation you can find the settings on Certificates under Certificate Types.

Here you have an overview of all your internal Certificate Types. You can also see which are requested by default, for which ones a template is stored and for which it is mandatory for the subcontractor to add an expiry date.

To add new certificate type click on the "New certificate type"-button in the top-right corner.

Upload or request a certificate

To upload or request a certificate, go to the subcontractor section of Cosuno and open the respective subcontractor's profile. To view the provided certificate of the subcontractor click on the Certificate tab.

Here you can view the certificates that are available for this subcontractor. You can also upload certificates or request missing ones.

To request required certificates from the subcontractor, click on the "Request"-button. In the following window, you can make the following adjustments to the Request (see below). As soon as the request has been sent, the subcontractor will receive an email request which can be used to submit the request certificates.
