How to award a bid package to a subcontractor

1. Efficiently award bidders via Cosuno

Once the negotiation phase has been completed, bidders can be awarded directly via Cosuno.

  • This prevents the need to manually send emails with the awarding or rejection to each individual invited bidder.
    ​

  • It creates transparency and an up-to-date project status for all project participants.

  • Bidders automatically receive a notification and email via Cosuno and are directly informed about the awarding or rejection.


2. How to award a bidder?

  • You can access the "Bidder list" via the "Bidders" tab in your bid package. Select the bidder that is to be awarded.

  • On the right-hand side, you can see and adjust the status of the bidder.

    Select the "Award bid" options to continue to the awarding menu.

In the awarding menu, you can specify all relevant details for your contract, including the main order number, lump sum totals or discount rates.

By updating the status to "Awarded":

  • No further tenders can be submitted.

  • Access to shared documents is restricted for all bidders who have been invited to submit a bid. Only the company that has been awarded the contract can continue to access these documents.

  • When you change the status of a subcontractor to "Awarded", you will also be asked whether you would like to send a rejection to other bidders. If you select this option, all bidders who have accepted or submitted a bid will automatically receive a rejection by email.


3. Why is it important to set the status of the awards to "Awarded"?

  • Transparent and up-to-date project overview: All project participants gain insight into the current status of the project.

  • Use of historical data: Effortlessly access past award decisions and use them as a valuable reference for current projects.

  • Holistic award analysis: Cosuno enables a comprehensive evaluation of awarding activities to make informed decisions for future projects and thus organize the award efficiently.


4. What are the advantages of rejecting bidders via Cosuno?

  • Automated notification: If you reject bidders through Cosuno, they are automatically informed of the decision made. Each rejected bidder will receive an email notification.

  • Transparent communication: Fast and direct feedback leads to long-term positive cooperation with contractors and increases the response rate for future projects.


5. How to reject bidders?

While awarding a bidder, you also have the option of sending a rejection e-mail to all remaining bidders who have accepted the status request or submitted an offer but are not awarded. It is strongly recommended that you use this option.

Reject individual bidders:

Individual subcontractors can be selected via the "Bidders" menu item in the award procedure. To do this, click on the checkbox next to the name of the bidder and then on "Cancel" in the menu box on the right.

Reject multiple bidders at the same time:

You can use the "Bidders" menu item in the awarding process to provide feedback on the award status to several bidders at once. To do this, select the desired bidders by clicking on the checkboxes next to the bidder names. Then click on the "Reject" button at the top of the menu.
